How are EL mailarchive users charged?

Archives/users to be licensed:

  1. Active user archives (this also includes dummy user archives for e.g. shared mailboxes/public folders)
  2. Inactive user archives that must remain in place for legal reasons (e.g. archives of retired employees)
  3. Auditor user - for access to the mail archive by an external auditor (e.g. for an audit). This temporary user is also charged, but can be deleted again after the audit

The pricing calculation is based on... 

  1. the highest number of existing users with their archives in the monthly billing period
  2. inactive old archives that need to be be retained for legal reasons (e.g. archives of retired employees)
  3. common archives without employees (e.g. public folders or shared mailboxes)
  4. existing users without archives (e.g. auditors) 

The instance administrator is created automatically as soon as a new instance is created. It is used for the full setup and administration of the service. The following changes to the calculation apply:

  1. As soon as an instance has 5 or more user archives (instance administrator excluded) and no emails are archived in the administrator's account, this user is free of charge.
  2. As soon as emails are archived in the instance administrator's account or there are less than 5 users in the instance, the account will be fully charged.

The invoices are issued on a monthly basis, taking into account the maximum number of user archives for the month in question. The calculation is made retrospectively for the previous month and cumulates all archives of your and your end customers instances.
