In this article, we explain how to configure the Gateway archiving profile and describe the relevant settings. 

Messages with unknown e-mail addresses

We recommend using the CatchAll archive, but you can also select another user's archive as the destination. This function is relevant as in certain scenarios important messages may still be received (e.g. an employee who has left the company still receives relevant messages about a project), which also need to be archived.

When e-mails are successfully archived

Activate this function so that the mailbox does not fill up and the archiving process does not create an unnecessary load on the system by synchronising messages that have already been archived. Only successfully archived messages are deleted.

Synchronise with directory services before archiving

This function makes automatic user administration easier for you. Before each archiving run, the system checks whether new users exist in the directory service, which have not been already created in EL mailarchive. In this case, the users are created automatically and all messages sent to this address are routed directly to the corresponding archive and are not sorted into the CatchAll archive. Activating this function is optional.

Please note that this can lead to an increase in the number of licences, as the EL mailarchive is calculated according to the number of users or their archives. The licencing model is explained in the following article:

Archiving IMAP and POP3 Multidrop Mailboxes

Another relevant point is the execution interval. Gateway or multidrop mailboxes should be retrieved at short intervals; best practice here is a value of 300 seconds or 5 minutes. We strongly recommend that you also consult with your data protection officer in order to comply with any legal requirements. 

To configure the interval, right-click on the profile and select the ‘Automatic’ function in the context menu. The interval can then be defined in the pop-up that opens.
